Some zInspector users find it helpful to pair a certain Property Management Inspection type with specific documents that supplement it. For example, at the conclusion of a Move-Out inspection, you may prompt your employee to re-key a lock or post a For Rent sign. These aren’t technically Move-Out inspection items that should be considered part of the Move-Out itself, much less lumped in with actual inspection data for Move-In / Move-Out comparison. To associate documents with an Inspection in a useful way, you can simply specify Supplemental Documents.
To automatically prompt your users to fill out a Supplement Document after a Property Management Inspection, simply add a comparable line of control code to Smart Comments.
A written explanation follows the video.
Specifying Supplemental Documents
- Go to Settings, select Admin Settings, then click on Smart Comments (found under Inspections and Templates).
- Referring to the Format (below):
- Specify the title of an existing Document in place of “Document Template Name.”
- Specify the type of Inspection to supplement in place of “PMinspection type”
z:[[ Supplemental Document | Document Template Name | [PMinspection type] ]]
z:[[ Supplemental Document | Move In Supplemental | [Move In] ]]
z:[[ Supplemental Document | Move Out Summary | [Move Out] ]]
Supplemental Documents v. Task Docs?
When Supplemental Documents are specified for a specific inspection type, the inspector is prompted to complete them when concluding the relevant inspection type. Think of them as friendly reminders from a helpful assistant.
When Task Docs are specified for a specific inspection type, on the other hand, they are tracked in the Task Manager and need to be completed before the associated task can be marked complete.
