Propertyware Custom Sync Setup: Provide Access To The zInspector Team

Most zInspector users can complete the Propertyware integration process themselves by carefully following the video and steps outlined here (for properties/units) and here (for tenants/leases).

If you have very specific setup requirements or for some other reason want the zInspector team to set up the Propertyware sync on your behalf, please proceed with the article below.

This guide provides step-by-step instructions for a Propertyware administrative user to add the zInspector team as a user and provide sufficient permissions for us to perform the sync process on your behalf.

Depending on company preferences and practices, you can simply set us up in Propertyware with administrative privileges or, with a bit more effort, create a new user profile with the specific permissions detailed below.

Whichever option you choose, we will only access the information needed to perform the sync and you can deactivate our user at any time—for instance, after you confirm that the sync is complete and correct.

Please review both options (A & B) before proceeding.

Important: Send us an email (support@zinspector.com) once you have completed the steps below so we can confirm the invite was created correctly and get started on your sync. In most cases, we complete the sync within one business day (or less) of receiving the invite.

Option A: Assign and Add zInspector Support with an Existing Administrative Permissions Profile

  1. As an Administrative user, log in to Propertyware. 
  2. Click Setup in the upper-right corner.
  3. In the pane at left, expand the Administration Setup menu, expand Manage Users, and click on User Accounts.
  4. Click on the New User button.
  5. Set up the profile as follows: 
  • Profile: Administrative Profile
  • Status: Active
  • Privilege Level: Normal User
  • First Name: zInspector
  • Last Name: Setup
  • Email: setup+yourcompanyname@zinspector.com 

Note: If your company name is Sunshine Property Management, the email address provided here should be setup+sunshinepm@zinspector.com.

  1. You can leave most the remaining fields as-is or blank.
  2. Be sure to checkmark the Send email for Password reset to Userbox.
  3. Click Save.

Once we receive the invite email from Propertyware, we will access your account and perform the sync. We may request additional info while the process is underway or provide specific feedback once the sync is complete.

Option B: Assign And Add zInspector Setup with a Custom Permissions Profile

If you prefer not to provide full administrative access, or if we are unable to access sufficient functionality based on permissions you previously provided, you can create a new profile called, for example, “Sync Setup” by following the steps below. This illustration corresponds to Steps 4-9:

  1. As an Administrative user, log in to Propertyware. 
  2. Click Setup in the upper-right corner of the window.
  3. In the pane at left, expand the Administration Setup menu, expand Manage Users, and click on User Profiles.
  4. Click on the New User Profile button.
  5. For Profile Name, enter “Sync Setup” or “zInspector Sync” (or whatever best suits you).
  6. Under Module Settings, leave the following settings On (for drop-downs) or as-is (for checkboxes): Global, Reporting, Properties, and Leases.
  7. Under Module Settings, disable the following (select Off from the drop-down): Marketing, Contacts, Maintenance, Management, Dashboards, Money In, Money Out, Banking, Sites, and Portals.
  8. Under Read-Only Settings ensure the following are set to Full Access: Leases, Summary, Properties, Contacts, and Reports.
  9. Click Save.
  10. In the pane at left, click on User Accounts.
  11. Click on the New User button. 
  12. Provide information as follows: 
  • Profile: Sync Setup (or zInspector Sync, depends on your earlier naming preference)
  • Status: Active
  • Privilege Level: Normal User
  • First Name: zInspector
  • Last Name: Setup
  • Email: setup+yourcompanyname@zinspector.com 

Note: If your company name is Sunshine Property Management, the email address provided here would be setup+sunshinepm@zinspector.com.

  1. You can leave the remaining fields as-is or blank.
  2. Make sure to checkmark the box for Send email for Password reset to User.
  3. Click Save.

Once we receive the invitation email, we will access your Propertyware account and perform the sync. We may reach out to request further info while the process is underway or provide feedback once the sync is complete.

 

Deactivating a Temporary Propertyware User

When the requested sync has been completed and it looks correct and complete, you can easily deactivate the zInspector Setup user. You can follow the same process to re-activate the user at a later time, as needed.

  1. As an Administrative user, log in to Propertyware. 
  2. Click Setup in the upper-right corner.
  3. In the pane at left, expand the Administration Setup menu, expand Manage Users, and click on User Accounts.
  4. Click on the user name (e.g., zInspector Setup) to deactivate. 
  5. On the next page, click the Edit button.
  6. For Status, select Inactive.
  7. Click Save.
