With our newly enhanced Task feature, you can now manage your Activities / Action Items / Tasks more effectively.
To configure your Task settings, go to Settings —-> Admin Settings —>– Task Manager / Helpdesk Settings —-> Activities / ToDo / Actions / Process Management (Beta)
Under the Active tab, you have the columns:
- Task Type
- Media
- z3 Action
- zTenant Action
Task Type
The options that are enabled under Task Type refer to the different categories that are available for selection when creating a new task on the Tasks page. These options help to categorize tasks and provide more context and information about a specific task.
For example:
- Move-In: A task that relates to upcoming tenant Move In
- Support: A general task that is assigned to your admins and is related to any support issues/concerns.
Media
This determines which types show up when you are taking pictures on the zInspector app on the camera screen. You might want to take pictures just for Marketing purposes, for example, then you would select the Marketing Activity on the camera screen in zInspector. If you click on it, it will show you all the other options i.e. Maintenance: This option would be used to capture photos or videos that are related to maintenance or repair work, such as documenting a repair issue or capturing before and after photos of a maintenance task.
By selecting the appropriate media option, users can ensure that the photos and videos they capture are properly categorized and organized within the app, making it easier to find and review them later on.
z3 Action
These are the !=Action types you have available on the zInspector app when you’re doing inspections i.e. !-Repair, !-Cleaning, !-Painting
If you are integrated with Appfolio, Rent Manager, Rentvine – these action items are what generates work orders/services issues into the property accounting software. For example, if during a Move Out inspection you identify multiple items as needing !-Cleaning and multiple other items as needing !-Painting, then we will create two work orders/service issues in AppFolio or Rent Manager, one for all of your Cleaning items and one for all your Painting items. These work orders will include all your inspector comments and a public link with the related photos/videos.
zTenant
This determines which (!) Action types are available to tenants on the zTenant app, when you invite them to complete an inspection. For the zTenant app, the default options are just Cleaning and Maintenance, so those are the only ones enabled by default under this column. You can limit the list of available actions for tenants when completing an inspection or disable them altogether from tenant templates.
If you go to the Inactive tab, you can see more options for Activity. If there is an Activity that you want to enable, simply click on the little green button on the left to make them active. Your changes will then show up accordingly.
