13.3 Remote Inspection Signing – Enhanced (Fall 2020)

zInspector’s Remote Signing feature is free to all users during the pandemic crisis.

Fall 2020: Enhanced tenant feedback features add additional value and useability.

Many zInspector customers have asked for a better way to get a tenant signatures on an inspection their team had completed, such as a pre-occupancy Move In or ‘make-ready’ inspection. It turns out that many customers had been printing out paperless zInspector reports just to get them signed…or running their zInspector inspections through a third-party signing tool…or arranging for to meet up with tenants to grab their signatures in person. So we created Remote Signature for zInspector so you can save paper and toner, reduce hassle, and preserve social distance while collecting the signatures you require.

Both brief and detailed steps are provided below the video.

 

In Brief – Remote Signature Invitation:

  1. Go to the Tenants page.
  2. Locate the relevant property.
  3. Click Invite in the Tenant Move In column or Tenant Inspection column—it depends on the inspection to be signed.
  4. Click Remote Signature (or +New then Remote Signature).
  5. Define the inspection to be signed and click Next.
  6. Customize the invitation further, including enhanced tenant feedback options (detailed in the next section), then click Next.
  7. Use the toggles to include or exclude listed tenants from the invitation then click Invite.

For the tenant, the process is extremely straightforward and can be completed easily on a computer or mobile device.  Once the inspection is signed remotely, the status will show show as Submitted. The signed report will auto-email to default recipients and tenants and be available in Timeline.

 

Enhanced Tenant Feedback Options

In addition to a remote signature, you can allow tenants to provide additional feedback when reviewing a previously completed inspection.

Let Tenants Add Comments: Allow tenants to leave general comments.

Let Tenants Upload Images: Allow tenants to upload their own images and related comments.

Let Tenants Add Comments to Condition Table: Allow tenants to add a comment to any detail-level finding (example below).

 

In Depth – Remote Signature Invitation:

  1. Go to the Tenants page.
  2. Locate the relevant property.
  3. Click the status link (usually Invite) in the Tenant Inspection or Tenant Move In column.
    • The status link displayed can vary depending on the status update the last invitation sent to a tenant on that lease. Possibilities are Invite, Invited, Scheduled, Submitted, and Expired.
    • If you want the tenant to remote sign an inspection related to a Move In, click the status link in the Tenant Move In column. Otherwise, click the status link in the Tenant Inspection column.
  4. Click Remote Signature. (Note: If remote signatures have previously been requested for this lease, they will be listed; you can click +New to send a new remote signature invitation.)
  5. On the next screen you will define the inspection to be signed:
    • Select Completed Inspection: From the dropdown, choose the inspection you want signed.
    • Specify Document Title (optional): You can add a free-text document title for purposes of clarity or to differentiate the signed version of the inspection in your Timeline: for example, call it “Move Out – Tenant-Signed.“
    • Span (attach media): Adjust Span options to include media as needed (click Preview to see the media being included based on those settings).
    • When satisfied, click Next.
  6. On the next screen you can customize the invitation and feedback options:
    • Customize the invite email greeting (optional).
      • a) The default greeting can be customized under Settings > Admin Settings > Tenant Move-In Remote Signature or Tenant Inspection Remote Signature.
      • b) {{FirstName}} will be replaced with the tenant’s name automatically when the invitation email is sent.
    • Adjust the invitation send and reminder start dates if you wish to schedule the invitation in advance.
    • Change the enhanced tenant feedback options (discussed above) by toggling the “Let Tenants…” options.
    • When satisfied, click Next.
  7. Toggle on/off tenants who should receive the invitation to sign, as desired and click Invite.

For the tenant, the process is extremely straightforward and can be completed easily on a computer or mobile device.   Once the tenant has signed the inspection, the status will show as to Submitted. The signed report will auto-email to default recipients and tenants and be stored in Timeline.

 

Not seeing a Lease or Tenant on the Tenants page?

If your zInspector account is synced with a property accounting software (Rentec Direct, Rent Manager, AppFolio, or Propertyware): your tenant data should appear automatically. Please see this article to troubleshoot missing lease/tenant info.

If your zInspector account is not synced with a property accounting software, you can easily create a Lease and Tenant(s) manually by clicking on “+Lease.”

Note: Remote Signature is available to Business and Enterprise plan subscribers.
